How to Set Up Bleed, Trim and Safety Margins for Business Card Printing

Nine out of ten business card files that get bounced back by a print shop fail for the same handful of reasons: no bleed, text sitting on the cut line, RGB colours, or a PDF exported without the right settings. The good news is that a correct business card bleed setup takes about two minutes once you know the numbers, and it works the same way whether you design in Adobe InDesign or Adobe Illustrator.

This guide walks through the whole process in order: document size, bleed, trim, safety zone, colour mode, and the export dialogue. We have also listed the exact rejection reasons we see most often at prepress, so you can check your file against them before you send it.

The Three Lines Every Print-Ready Card Has

Before touching any software, understand what the three lines mean. Every commercial printer works with the same logic, even if the wording changes slightly.

The reason bleed exists is mechanical. Cards are printed on large sheets and cut in stacks. Stacks shift by a fraction of a millimetre. Without bleed, that shift leaves a thin white sliver along one edge. With 3 mm of bleed, the blade always cuts through ink.

The Numbers You Need (Europe and US)

Business card sizes differ by region, which is why the search results you find online are split between inches and millimetres. Here are both, with bleed already added.

Important: bleed is added per side, not in total. A 3 mm bleed adds 6 mm to the width and 6 mm to the height of the document. This single misunderstanding causes a large share of rejected files.

Resolution and pixel dimensions

If you work in pixels (Photoshop, Canva, Figma), use 300 ppi at final size. For an 85 × 55 mm card with 3 mm bleed, that is 1075 × 720 px. For 3.75 × 2.25 in it is 1125 × 675 px. Anything below 250 ppi will look soft on coated stock.

Part 1: Business Card Bleed Setup in Adobe InDesign

InDesign is the cleanest tool for this because bleed, margins and slug are built into the document dialogue.

  1. File > New > Document. Set Intent to Print and Units to Millimeters.
  2. Width 85 mm, Height 55 mm (or your chosen trim size). Pages: 2 if you have a back side. Uncheck Facing Pages so each side is a separate flat page.
  3. Click Bleed and Slug to expand it. Enter 3 mm in Top, Bottom, Inside and Outside. Use the chain-link icon to apply once to all four.
  4. Set Margins to 3 mm (or 4 to 5 mm if you want a more generous look). This margin becomes your visual safety zone.
  5. Click Create. You will now see a red outer line (bleed), a black line (trim) and a magenta or violet inner line (margin / safety).
  6. Extend every background element to the red line. Not to the black line. If a photo covers the whole card, drag its edges 3 mm beyond the page on all four sides.
  7. Keep all text and logos inside the magenta line. Selecting a text frame and checking its position in the Control panel is faster than eyeballing it.
  8. Run Window > Output > Preflight and set the profile to check for RGB images and missing links.

Setting up a document that already exists without bleed

If you inherited a file with no bleed, go to File > Document Setup, add the 3 mm bleed there, then manually pull each background object out to the new red line. Do not scale the whole layout up by a few percent, because that shrinks your safety margins and changes your type size.

Part 2: Business Card Bleed Setup in Adobe Illustrator

Illustrator handles bleed at the artboard level, and there are two things people commonly get wrong: forgetting the bleed field entirely, and forgetting that Illustrator will not clip overhanging art unless you tell it to.

  1. File > New. Choose the Print tab, set Units to Millimeters and Color Mode to CMYK, Raster Effects to High (300 ppi).
  2. Width 85 mm, Height 55 mm. Artboards: 2 if you need front and back.
  3. In the Bleed fields enter 3 mm on all four sides. Illustrator draws this as a red outline around the artboard.
  4. Create your own safety guide: draw a rectangle at 79 × 49 mm, centre it on the artboard using the Align panel (Align to Artboard), then View > Guides > Make Guides (Ctrl/Cmd + 5). Lock the guides.
  5. Push every background fill, image and colour band out to the red bleed line.
  6. Keep type, contact details and logos inside your 79 × 49 mm guide.
  7. Convert all type to outlines or embed the fonts. Select the text and press Ctrl/Cmd + Shift + O, but keep an editable copy of the file first.
  8. Embed, do not link, placed images (Window > Links > Embed Image), or send the linked files along with the PDF.
  9. Check Window > Document Info > Objects and Edit > Edit Colors to confirm nothing sneaked in as RGB or as an unwanted spot colour.

A note on strokes and hairlines

Any line thinner than 0.25 pt may disappear or break up in offset printing. If you use a thin decorative frame, remember two things: make it at least 0.3 pt, and keep it at least 4 mm from the trim, because a frame that sits 1 mm from the cut will look visibly uneven on half the batch.

Part 3: CMYK Conversion Done Properly

Screens are RGB, presses are CMYK. If you send RGB, the printer converts it automatically and the result is often duller or shifted, especially with bright blues, greens and oranges.

  • Set the document to CMYK from the start: in Illustrator, File > Document Color Mode > CMYK Color. In InDesign, use CMYK swatches and place CMYK images.
  • Use a proper profile. For coated stock in Europe the usual choice is Coated FOGRA39 or PSO Coated v3; for uncoated, PSO Uncoated v3. In North America, US Web Coated (SWOP) or GRACoL.
  • Rich black for large areas: use something close to C 60 M 40 Y 40 K 100 rather than K 100 alone, which prints as a washed grey-black on big backgrounds.
  • Small text stays K 100 only. Rich black on 7 pt type produces fuzzy edges if registration drifts by a hair.
  • Watch total ink coverage. Keep the sum of C+M+Y+K under roughly 300 percent so ink does not set off or smear.
  • Delete unused spot colours from your swatch palette. A stray Pantone in the file can be read as an extra printing plate and trigger a quote for 5 colours.

Part 4: Exporting PDF/X-1a in Plain Language

PDF/X-1a is a locked-down flavour of PDF built for print. It forces everything into CMYK or spot colours, embeds all fonts, and forbids transparency and RGB, so the file behaves identically on any press. That is exactly why print shops ask for it. From InDesign

  1. File > Export, choose Adobe PDF (Print).
  2. In Preset, pick [PDF/X-1a:2001].
  3. General tab: Pages, All. Uncheck Spreads. Uncheck View PDF after Exporting if you prefer.
  4. Compression tab: colour and greyscale images set to Bicubic Downsampling to 300 ppi for images above 350 ppi, Compression Automatic (JPEG), Image Quality Maximum.
  5. Marks and Bleeds tab: tick Crop Marks, set Offset to 3 mm so the marks do not sit inside the bleed. Then either tick Use Document Bleed Settings or type 3 mm in each field. Leave registration marks and colour bars off unless your printer asks for them.
  6. Output tab: Color Conversion, Convert to Destination (Preserve Numbers). Destination, your press profile (for example Coated FOGRA39). Profile Inclusion Policy, Include Destination Profile.
  7. Export, then open the PDF and check the page size reads 91 × 61 mm, not 85 × 55 mm.

From Illustrator

  1. File > Save a Copy (or Save As) and choose Adobe PDF.
  2. Preset: [PDF/X-1a:2001].
  3. In Marks and Bleeds, tick Trim Marks, offset 3 mm, and tick Use Document Bleed Settings. If you skip this box, Illustrator exports with zero bleed even though your artwork extends past the artboard.
  4. Untick Preserve Illustrator Editing Capabilities to keep the file small and predictable.
  5. Save, then verify in Acrobat: File > Properties should show the larger page size, and Print Production > Output Preview should show only C, M, Y, K separations.

The 10 Mistakes That Get Business Card Files Rejected

  1. No bleed at all. Document is exactly 85 × 55 mm with a full-colour background. Result: white edges after cutting.
  2. Bleed set in the document but artwork not extended into it. The red line exists, the background stops at the trim. This is the most common one of all.
  3. Bleed added to the total instead of per side, so the file is 88 × 58 mm and every element is off-centre after trimming.
  4. Text on the edge. An email address 1 mm from the trim will be clipped on part of the run.
  5. RGB colours or RGB images left in the file, producing colour shifts.
  6. Fonts not embedded or outlined, so the printer’s system substitutes a default typeface.
  7. Low resolution logos pulled from a website at 72 ppi and scaled up.
  8. Crop marks placed inside the bleed area because offset was left at 0, so the marks print on the card.
  9. Front and back in one spread instead of two separate pages, or supplied as two files with different dimensions.
  10. Thin white frame around the design, which is the least forgiving layout choice possible when cutting tolerance is ±0.5 mm.

Special Cases Worth Knowing

Rounded corners

Die-cut or rounded corner cards need a slightly more generous safety zone, typically 5 mm, because the curve eats into the corner area. Do not draw the rounded corners in your artwork; supply a rectangular design and specify the corner radius separately.

Spot UV, foil or embossing

These finishes need a separate layer or page containing only the shapes to be treated, drawn in 100 percent K or a clearly named spot colour, positioned exactly over the main artwork. Label the layer plainly, for example SPOT-UV.

Double-sided cards

Keep both sides in a single PDF, page 1 as the front and page 2 as the back, both with identical dimensions and bleed. If the back is a solid dark colour and the front is light, mention it, because heavy coverage on one side can cause slight curling on thin stock.

Designing in Canva or Photoshop

Both can produce acceptable files. In Canva, create a custom size at the bleed dimensions and export as PDF Print with crop marks and bleed enabled, then check the colour profile. In Photoshop, create the canvas at bleed size, 300 ppi, CMYK, add guides at 3 mm from each edge for trim and another set 3 mm further in for safety, and save as PDF with Press Quality. How much bleed should be on a business card?

How do I add a 3 mm bleed to an existing PDF?

You cannot invent artwork that is not there. If your background extends beyond the trim in the source file, re-export from InDesign or Illustrator with bleed enabled. If the PDF is already flat and cropped, either edit it in Acrobat Pro’s Print Production tools to enlarge the BleedBox (only works if there is hidden art outside the crop) or rebuild the design. A quick fallback for solid-colour backgrounds is to place the PDF into a larger InDesign document and extend a matching colour block into the bleed.

What is the difference between the trim line and the cut line?

They are the same thing. Different print shops use trim line, cut line or cutting line to describe the position where the blade goes, which is the final size of your card.

Can I just send a JPG or PNG?

It is possible but not advisable. Raster files carry no TrimBox information, so bleed has to be assumed, type edges are softer, and small text loses crispness. PDF/X-1a from a vector layout gives noticeably sharper results on 300 to 400 gsm stock.

Do I need bleed if my card has a white background?

If the design is genuinely white to the edges with no border, bleed is less critical, but still supply it. Paper is rarely pure white and the printer’s imposition system expects a bleed area. It also protects you if you later add a coloured edge or change stock.
